About this policy

Teddy House is a sole trader business based in Melbourne, Victoria, Australia. We provide branding, website, marketing and digital services.

This policy explains how we handle personal information through our website, enquiries and business communications. In this policy, “we”, “us” and “our” mean Teddy House.

For privacy questions or requests, email steph@teddyhouse.com.au.

Information we collect

When you contact us, we collect the information you choose to provide. This may include your name, email address, phone number, business details, project requirements and the contents of your messages.

We also keep records of our communications with you. If you become a client, this may include information needed to prepare proposals, deliver agreed services and manage the working relationship.

Our website and service providers may collect technical information when you visit. This can include your IP address, browser and device details, pages visited, interactions with the site, referral information, approximate location and cookie or similar identifiers.

Please only include information needed for your enquiry. You do not need to send passwords, identity documents or sensitive personal information through the website enquiry form.

How we collect information

We collect information directly when you use an enquiry form, email us or communicate with us about our services.

Technical information is collected through website hosting, logs, cookies and analytics tools. We may also receive information from someone who contacts us on your behalf.

You can browse the public website without giving us your name. If you choose not to provide contact details or information needed for your enquiry, we may be unable to respond or prepare a useful proposal.

How we use information

We use personal information to:

  • respond to enquiries and communicate with you;
  • understand your project, prepare proposals and provide agreed services;
  • maintain business records and manage client relationships;
  • understand website use, improve the site and investigate technical problems;
  • protect our website and business against misuse; and
  • meet legal obligations and deal with complaints or disputes.

If you ask to receive marketing updates, we use your contact details for that purpose. You can ask us to stop these messages at any time, using the unsubscribe option provided or by emailing us. We may still send messages needed to respond to an enquiry or manage an agreed service.

Cookies and Google Analytics

We use Google Analytics 4 to understand how visitors use our website. It may use cookies and similar technologies to collect information about visits, devices, interactions and approximate location. Google processes information when the analytics service runs.

Google Tag Manager helps us manage the website tags that load these tools. The information collected depends on the tags and settings in use.

You can control or delete cookies through your browser settings. Blocking cookies may affect how some features work and does not necessarily prevent all technical information from being collected.

Google provides information about its processing and available controls:

  • How Google uses information from sites that use its services
  • Google Analytics browser opt-out add-on

Advertising

We may use Google advertising features, such as Google Ads conversion tracking, remarketing audiences and Google Signals. These use cookies and similar technologies to measure how our ads perform and to show Teddy House ads to people who have visited our website when they use other websites and apps.

Google Signals can link website activity with the Google accounts of signed-in users who have turned on ad personalisation. This helps with reporting across devices and with understanding our audience.

You can manage personalised ads from Google through My Ad Center, or use the Google Analytics opt-out add-on listed above.

When we share information

We share information where reasonably needed for the purposes described in this policy. Recipients may include:

  • providers supporting website hosting, enquiry delivery, email, analytics and business systems;
  • contractors working with us on an enquiry or agreed project;
  • professional advisers assisting with business, legal or accounting matters; and
  • authorities or other parties where disclosure is required or authorised by law, or reasonably needed to deal with a legal claim.

Our providers include Vercel for website hosting, Resend for delivering website enquiries to us by email, and Google for business email and analytics.

We limit the information we share to what is reasonably needed for the relevant task. We do not sell website visitors’ personal information.

Links to external websites are governed by those websites’ own privacy practices.

Storage and overseas processing

Personal information may be held in business email, project records and systems provided by our service providers.

Some providers operate internationally. Information may be stored, accessed or processed outside Australia, including in the United States. Other locations depend on the provider, its infrastructure and the services used.

Where overseas handling is involved, we take steps appropriate to the information and our legal obligations. These may include reviewing provider terms and limiting what is shared. You can contact us for further information about providers relevant to your enquiry or project.

Security and retention

We take reasonable steps to protect personal information against misuse, loss and unauthorised access, alteration or disclosure. These steps include controlling access to business accounts and limiting access to information to people who need it for their work.

We keep information for as long as reasonably needed for the purpose for which it was collected, our business records and applicable legal obligations. We then take reasonable steps to delete it or make it no longer identifiable, unless we need to retain it. Deletion from provider backups may follow a separate backup cycle.

No website, email service or storage system can be guaranteed completely secure.

Access, correction and other requests

You can email steph@teddyhouse.com.au to ask for access to personal information we hold about you, request a correction, ask us to stop marketing messages or request deletion of information we no longer need.

We may need to confirm your identity before acting on a request. We will consider your request and respond within a reasonable time. Some information may need to be retained for legal or other permitted reasons. If we cannot meet your request, we will explain why, where it is lawful to do so.

Privacy complaints

If you are concerned about how we have handled personal information, email steph@teddyhouse.com.au with the details.

We will acknowledge your complaint, look into it and aim to provide a response within 30 days. If more time is needed, we will explain the reason and expected next steps.

If the matter remains unresolved, you can contact the Office of the Australian Information Commissioner for information about your options. Its ability to investigate depends on whether the matter falls within its jurisdiction.

Changes to this policy

We may update this policy when our website, services or information handling changes. The current version will be published here with an updated date. If a change requires a separate notice or consent, we will provide that where required.
